With profairs it is possible to send targeted newsletters to all or individual exhibitors, interested parties or exhibitor groups. Both html newsletters and newsletters in plain text are possible.
profairs offers several advantages when sending newsletters compared to other newsletter programs:
In order to individualize a newsletter, various variables are available in profairs, such as first and last name, company, access data, interest code or an order overview. An overview of all available variables can be found in the online help.
When sending newsletters, profairs exclusively uses the e-mail addresses stored with the contact persons, not the general e-mail addresses published on the website. If exhibitor groups are selected, all deposited recipients will always receive the newsletter, unless they have explicitly not been activated to receive newsletters.
The email address stored with the project manager is always used as the sender. Both as sender and as reply-to. In the recipient's mail program, the name of the trade fair event always appears as the sender of the newsletter. To ensure that the newsletter is accepted by the recipient, the profairs server must be authorized to send mails for the sender domain. For this purpose, it is necessary to set (or have set) an SPF record for your domain. For this purpose, this entry must be set or supplemented in the DNS configuration:

If you want to create newsletters in html format, you need an external html editor. Then you can insert the source code of the newsletter via the source code view of the integrated editor in profairs.
It may be necessary to send previous newsletters to new exhibitors, especially if new exhibitors are added who have not received previously sent newsletters. In this case, it is sufficient to simply resend the newsletter to the predefined group of recipients. The system checks whether a recipient has already received a newsletter. If so, this recipient will not receive a newsletter when it is resent. This ensures that each recipient actually receives the newsletter only once.
Before sending a newsletter to a larger group of recipients, it is advisable to send a test mail in advance, especially if variables are used or the newsletter is sent in HTML format. In this case, it makes sense to create the organizer as a blocked exhibitor with a contact person who serves as a test recipient.
